Terms of Service

1. Agreement

By accessing or using WhatIF Machine (“the Service”), you agree to these Terms of Service. Please read them carefully. If you do not agree, do not use the Service.

2. Service description

WhatIF Machine provides financial analysis, scenario modeling, budgeting, forecasting, and board reporting tools for nonprofit organizations. The Service uses artificial intelligence to analyze financial documents and accounting data and to generate insights, projections, and narratives.

WhatIF Machine is built on Base44, a third-party application platform. By using WhatIF Machine, you are also subject to Base44’s Terms of Service. The Service uses Anthropic’s Claude for AI processing, subject to Anthropic’s Terms of Service. Base44 may use additional third-party subprocessors to operate the underlying platform; a current subprocessor list is available from Base44.

3. Early access and subscriptions

WhatIF Machine is offered during an early access period. Paid subscriptions are active. Plans are billed as follows:

• Starter and Core plans are available on a monthly or annual basis. Current prices are shown on our Pricing page.

• All plans include a 14-day free trial. No credit card is required to begin a trial. You will only be charged if you choose to subscribe after the trial.

• Monthly plans are billed month-to-month with no long-term commitment and may be canceled at any time; cancellation takes effect at the end of the current billing period.

• Annual plans are billed in full, in advance, for the year and represent a 12-month commitment. Annual subscriptions are non-refundable, including for partial or unused months.

• Plan changes (upgrades or downgrades) take effect as described at checkout, and charges are prorated for the remainder of the billing cycle where applicable.

We may change our prices. If we change the price of a plan you are subscribed to, we will give you advance notice before the change applies to your next renewal.

4. Acceptable use

You may use WhatIF Machine only for lawful purposes and in accordance with these Terms. You may not:

• Upload documents or data you are not authorized to access or share;

• Use the Service to generate misleading or fraudulent financial reports;

• Attempt to circumvent access controls or security measures;

• Use the Service in any way that violates applicable law or the acceptable use policies of Base44, Anthropic, or Intuit.

5. Data ownership

You retain full ownership of all financial data and documents you upload. WhatIF Machine does not claim any rights to your financial information. You grant us a limited license to process your data solely for the purpose of providing the Service to you. Our handling of your data is described in our Privacy Policy.

6. AI limitations and disclaimer

WhatIF Machine is a financial analysis tool, not a licensed financial advisor, accountant, or auditor. Insights, projections, health scores, forecasts, and board report narratives are generated by artificial intelligence and are provided for informational purposes only. They do not constitute financial, legal, or accounting advice.

AI-generated analysis may contain errors, omissions, or inaccuracies. Financial figures extracted from uploaded documents or synced from connected accounting systems are processed automatically and should be verified against source records before use in official reports or board materials.

We are not liable for financial decisions made based on the Service’s outputs. Always consult qualified professionals for financial, legal, and accounting decisions.

7. QuickBooks Online integration

This section describes how the Service interacts with Intuit QuickBooks Online. It applies only if you choose to connect a QuickBooks Online account.

• Optional and read-only. Connecting QuickBooks Online is optional. When connected, the Service accesses your QuickBooks data on a read-only basis. The Service does not write to, modify, delete, or otherwise alter any records in your QuickBooks account.

• What is accessed. The Service accesses financial data necessary to generate reports and insights — including profit and loss data, balance sheet data, and associated account and transaction information. The Service does not access data unrelated to financial reporting.

• Why it is accessed. QuickBooks data is used solely to populate your dashboard, generate reports and insights, and support the features you use within WhatIF Machine.

• Authorization. Access is authorized by you through Intuit’s OAuth process. You may be required to re-authorize periodically in accordance with Intuit’s requirements.

• Disconnecting. You may disconnect QuickBooks Online at any time from within the Service or from your Intuit account settings. Disconnecting stops all further access to your QuickBooks data.

• Deletion of QuickBooks-derived data. You may request deletion of data derived from your QuickBooks connection as described in our Privacy Policy.

Your use of QuickBooks Online is also governed by your agreement with Intuit. WhatIF Machine is not affiliated with, endorsed by, or sponsored by Intuit.

8. Service availability

We target high availability but do not guarantee uninterrupted access. We reserve the right to perform maintenance, updates, or modifications at any time and will communicate planned downtime in advance where possible.

9. Termination

You may terminate your account at any time by deleting your organization’s records within the Service or by contacting us at support@whatifmachine.ai. We reserve the right to suspend or terminate accounts that violate these Terms. Deletion of your data upon termination is handled as described in our Privacy Policy.

10. Limitation of liability

To the maximum extent permitted by law, WhatIF Machine and its operators are not liable for any indirect, incidental, special, consequential, or punitive damages, or for any loss of profits, revenues, data, or goodwill, arising out of or in connection with your use of the Service. Our total liability for any claim arising out of or relating to the Service is limited to the amount you paid us for the Service in the twelve months preceding the claim.

11. Changes to these Terms

We may update these Terms from time to time. We will notify users of material changes via email or in-app notification before they take effect. Continued use of the Service after changes take effect constitutes acceptance of the updated Terms.
